The power of Managed Print Services and what it means for our customers

David FinnManaged print services (MPS) are becoming increasingly relevant in today’s business environment, as customers want to optimise their document output to reduce costs, improve efficiency and productivity and keep information secure.  Here we talk with Kyocera’s Managing Director, David Finn, about the nature of MPS and how it can add value to our customers’ businesses.

David can you give us an insight into what MPS is?

MPS aims to optimise and manage a company’s document output to reduce costs, improve efficiency, productivity and keep information secure. The service provider takes responsibility for the customer’s print needs – the supplies, service and overall management of the fleet.

Looking at it from a customer perspective, MPS means outsourcing the management of print and document imaging devices. A true MPS solution means a customer doesn’t need to worry about multiple invoices for different devices or vendors. They can have one invoice for all of their document usage. They can also clearly see their usage and expenditure.

Is that all MPS has to offer?

No, not at all, MPS has lot to offer. There are of course other elements that can be added to this solution like automatic meter reading and toner replenishment. The goal is to offer customers flexibility and options to suit the nature of their business and their needs. Yet in its most simplistic form, MPS is simply a pay per click, one copy cost solution for the customer, allowing customers to anticipate and plan for their costs.

What are the benefits of a move into MPS?

MPS enables businesses of all sizes to take control of their printing costs which in the past were difficult to manage. It gives a strong degree of predictability in ongoing printing expenses for businesses and in freeing up cash flow. It also relieves the business from most of the administrative burdens of managing a print fleet.

Can you give us an example of the benefits of MPS?

TNT Express, one of the world’s leading express delivery service providers, has been one of Kyocera Australia’s MPS customers since 2010. TNT wanted to simplify their fleet and cut their costs. We were able to reduce their devices in head office by 60% and deliver them running cost savings of a huge 38%. The MPS has given them greater visibility and control over their usage and costs which is exactly what MPS is designed to do. This is the power of MPS, equipping the customer with information and the ability to control their costs.

Another example is ComfortDelGro and Cabcharge (CDC); one of Australia’s largest private bus operators. We were able to achieve cost savings of around 40% and we simplified their fleet from over 13 different printer and copier models (which were costly to run and manage) down to just two. Their employees who move from one site to another now have the same machines at every location. CDC was particularly pleased with the automatic meter reading we offered as part of the MPS solution. Previously they had been spending a lot of time and resources calling each site and getting a reading for each individual machine. With our solution they now get emailed a monthly report showing their usage and are then billed accordingly.
